Our Partner – fast-growing international company – based in Krakow is currently longing for an experienced, proactive and extraordinary Administrative Expert. Under minimal supervision and on own initiative, the Office Ninja will set up administrative workflow according given standards and advanced procedures to new established office. This essential position requires superior administrative and organizational skills, a thorough knowledge of company policy and procedures since one should supervise a team who supports multiple departments and directors. Phew… quite a lot may seem. But not for an extraordinary one we are looking for on a position of:
General office management;
Document preparation, editing, and tracking;
Administrative support to General Manager;
Supervising and monitoring the work of administrative staff;
Managing office budgets;
Liaising with staff, suppliers and clients;
Implementing and maintaining procedures/office administrative systems;
Delegating tasks to junior employees;
Organising induction programmes for new employees;
Ensuring that health and safety policies are up to date;
Attending meetings with senior management;
Assisting the organisation's HR function by keeping personnel records up to date, arranging interviews and so on;
Manage facility calendar and conference room bookings.
3+ years of related experience in a dynamic administrative assistant role supporting multiple levels and departments, preferably in a technical and/or engineering environment;
Master Word and Excel skills; Mid-level PowerPoint skills;
Excellent verbal and written communication skills both in Polish and English;
Communication, negotiation and relationship-building skills;
Reliability and discretion: you will often learn of confidential matters;
Excellent time management skills and must be self-motivated.
